How to Set Up a Business Email in Outlook on iPhone Using IMAP

Need to use your business email on your iPhone? This guide shows you how to set up a business email account in Microsoft Outlook using IMAP.

Before You Start

  • Your full business email address
  • Your email password
  • Incoming IMAP server
  • Outgoing SMTP server
  • Incoming and outgoing ports
  • Security settings from your email provider

What Is IMAP?

IMAP stands for Internet Message Access Protocol. It keeps your messages on the mail server and synchronises your mailbox across devices.

How to Set Up Business Email in Outlook on iPhone

1. Open Microsoft Outlook

Open Outlook on your iPhone and choose the option to add an email account.

2. Enter your business email address

Enter your full business email address. If Outlook cannot automatically configure the account, choose manual or advanced setup.

3. Choose IMAP

Select IMAP when Outlook asks for the account type.

4. Enter your incoming mail settings

  • Username: Usually your full email address
  • Password: Your email account password
  • IMAP server: Your provider’s incoming mail server
  • Port: Commonly 993 for secure IMAP
  • Security: SSL/TLS where supported

5. Enter your outgoing SMTP settings

  • SMTP server: Your provider’s outgoing mail server
  • Port: Commonly 587 for secure submission
  • Security: STARTTLS/TLS where supported
  • Username: Usually your full email address
  • Password: Your email account password

6. Save and test

Save the account and let Outlook test the connection. Send a test email and reply to it to confirm that both incoming and outgoing mail are working.

Typical Secure Email Settings

Setting Typical Value
Incoming protocol IMAP
Incoming port 993
Incoming security SSL/TLS
Outgoing protocol SMTP
Outgoing port 587
Outgoing security STARTTLS/TLS
Username Full email address

Important: These are common secure settings, not universal settings. Always use the server names and security requirements supplied by your email provider.

IMAP vs POP3

IMAP is generally the better choice when you use the same business email account on multiple devices because your mailbox stays synchronised. POP3 is more focused on downloading messages to a device.

Common Problems

Password error

Confirm your email address and password through your provider’s webmail. Check for typing errors and unwanted spaces.

You can receive but cannot send

Check the SMTP server, port, security type and authentication details. Many providers require the full email address and password for SMTP authentication.

You cannot receive email

Check the IMAP server, port and SSL/TLS settings. Confirm that IMAP access is enabled if your provider requires it.

Connection or SSL warning

Verify the server name and security settings with your email provider. Do not simply bypass certificate warnings.

Security Tips

  • Use a strong, unique mailbox password.
  • Use SSL/TLS or STARTTLS where supported.
  • Never share your email password.
  • Keep Outlook and your iPhone updated.
  • Enable multi-factor authentication when supported.
